Replacing an RFID badge requires two distinct operations: obtaining the correct credential and assigning access rights to it. A new card or key fob of the same colour does not automatically recover the permissions of the previous badge. To avoid an unusable order, start with the installation manager.
This method also applies to renewing a batch of worn badges, onboarding new employees or preparing a replacement stock.
Report the loss to the access control manager
In the event of a loss, report it to the service that administers access control: the company, property manager, operator or authorised installer. They will be able to apply their deactivation procedure and determine the conditions for issuing a new badge. Ordering a replacement credential does not deactivate the previous one.
Avoid publishing the full number of a badge or any access information in a public space. Pass the relevant details to the right contact, through the channel provided by your organisation. You do not need to share an administrator password in order to choose a credential format.
If the badge belongs to a proprietary installation, first ask whether the manager requires a specific reference or supply channel. A standard product is not a universal badge for every building door.
Identify the chip, not just the casing
Note the make and model of the reader, the expected technology and, if possible, the reference of a previously validated purchase. A white card and an ABS key fob can contain different chips despite an apparently identical function.
Frequency is a first criterion, but it is not sufficient. EM4200 and MIFARE chips belong to different families; two products operating in the same band can also require different protocols or data. Our RFID compatibility guide details the checks to prepare.
The manufacturer describes the EM4200 as a read-only chip, with a factory-programmed code. Purchasing a standard EM4200 credential should therefore not be confused with freely copying the number from an old badge.
Enrol the new credential and test access rights
Once compatibility is confirmed, choose the right format: a white PVC RFID card for a badge holder, or an ABS RFID key fob for a keyring. Check the available variants and minimum quantities: a professional bulk shop does not necessarily suit a need for a single unit.
Then have the new credential enrolled by the authorised person. Depending on the installation, this involves adding its identifier or carrying out a specific application process. A standard credential purchased online does not include activation in your system.
- Verify that only authorised areas are accessible.
- Check time slots if your installation uses them.
- Confirm that the lost badge has been deactivated.
- Keep the chip and product reference for future purchases.
For a collective renewal, validate the process on one representative credential before enrolling the entire batch. This will reduce rework and give you a reliable purchase reference for next time.
